How to Find a Bookkeeper for Your New NZ Company
Just registered a company in New Zealand? Here is how to find a good bookkeeper, what questions to ask, and what to expect in the first 90 days.
Once you have registered a company with the NZ Companies Register, your first financial task is usually finding a bookkeeper or accountant. GST registration, payroll setup, and monthly reconciliation are all time-sensitive and easy to get wrong without help.
Bookkeeper vs Accountant: Which Do You Need?
A bookkeeper handles day-to-day transaction recording, bank reconciliation, GST returns, and invoicing. An accountant prepares end-of-year financial statements and tax returns. Many new NZ businesses use both, or a bookkeeper who works alongside their tax accountant. For a brand-new company with low transaction volume, a bookkeeper is usually the right first step.
What to Look for in a NZ Bookkeeper
- Xero or MYOB proficiency — most NZ businesses run on Xero; make sure your bookkeeper is a certified Xero advisor or partner
- Knowledge of NZ GST rules — the two-per-cent invoice and payments basis threshold rules trip up many new businesses
- Experience with your industry — trades, retail, and professional services each have different bookkeeping needs
- Clear pricing — many NZ bookkeepers charge a flat monthly fee; ask for a scope of work upfront
Questions to Ask Before You Hire
- Are you a member of the Institute of Certified NZ Bookkeepers or a Xero Certified Advisor?
- What accounting software do you use, and will you set it up for me?
- Do you handle GST returns as part of your fee?
- How do you handle payroll if I take on my first employee?
- What is your turnaround time for bank reconciliations?
What to Expect in the First 90 Days
In the first 90 days your bookkeeper should: set up your chart of accounts, connect your bank feed, register you for GST (if your turnover will exceed NZ$60,000 per year), and file your first GST return. They should also advise on whether to use the cash or invoice basis for GST, and whether to register for provisional tax.
